Fleet Administrator – Immediate Start

Overview

We are recruiting on behalf of a well-established organisation within the transport and logistics sector for an experienced Fleet Administrator to join a busy on-site Vehicle Maintenance Unit in Erith.

This is an excellent opportunity for an organised and proactive administrator looking to build a long-term career within fleet operations. Working as part of a supportive workshop team, you will play a key role in ensuring vehicles remain compliant, maintenance schedules are up to date, and the day-to-day administration of the fleet operation runs efficiently.

Due to the immediate requirement, applicants must have previous administration experience within the transport, logistics, fleet, workshop or vehicle maintenance industry and be available to start as soon as possible. Temporary applicants will also be considered while a permanent appointment is recruited.

Skills & Experience
  • Previous administration experience within transport, logistics, fleet, vehicle maintenance, engineering or another fast-paced operational environment
  • Experience supporting a workshop, service or maintenance function would be highly advantageous
  • Previous experience using r2c or a similar fleet/maintenance management system is desirable
  • Confident using Microsoft Office applications, including Outlook, Excel and Word
  • Excellent organisational skills with strong attention to detail and the ability to manage multiple priorities
  • Strong communication skills and the ability to build effective working relationships with workshop staff, drivers and suppliers
  • A full UK driving licence is essential, as occasional vehicle movements may be required
Roles & Responsibilities
  • Create and maintain vehicle compliance and service schedules using the r2c fleet management system
  • Produce workshop job cards and ensure all documentation is completed accurately to support warranty claims and service records
  • Process customer invoicing, raise purchase orders, order and receipt vehicle parts, and assist with stock control and regular stock takes
  • Manage driver defect reports, coordinate repair bookings and liaise with workshop staff to minimise vehicle downtime
  • Maintain accurate fleet maintenance records and support the day-to-day administration of the Vehicle Maintenance Unit
  • Ensure all workshop administration is completed accurately and in line with company procedures
  • Confidently use Microsoft Office applications to produce reports and maintain records
  • Occasionally collect and deliver vehicles to external repairers and service providers as required
